TPSClear for Zoho CRM

Check every UK phone number on your Zoho CRM Leads, Contacts and Accounts against the TPS and CTPS registers, and see the result on the record.

Before you start

  • A Zoho CRM user who can connect apps and create fields: an administrator, or a profile with permission to customise modules.
  • A Zoho CRM edition with API access.
  • UK phone numbers. A non-UK number is marked Not a valid UK number rather than checked.

Connect Zoho CRM

  1. Open Connect Zoho CRM. You are taken to Zoho to sign in. If your Zoho account is in the EU data centre (you sign in at zoho.eu), use Connect Zoho CRM (EU) instead.
  2. Check the permissions Zoho lists and click Accept.
  3. You come back to this page, which confirms the connection and offers the plans.

TPSClear works with Zoho CRM in the EU, UK, US and Australian data centres.

What each permission is for

  • Leads, Contacts and Accounts (read and write). Reads the phone fields on each record and writes the TPSClear result fields back.
  • Field settings. Creates the three TPSClear fields on each module, and finds your phone fields, including custom ones.
  • Notifications. Tells TPSClear when a record is created or a phone number changes, so the number is checked straight away.
  • Organisation (read only). Identifies your Zoho CRM organisation for your subscription.
  • Users (read only). Reads the email address of the person who connected the app, for failure alerts.

Fields created for you

On connection TPSClear adds three fields to each of Leads, Contacts and Accounts:

  • TPS status (Pick list). The most cautious result across the record's phone numbers. Its options are the six results listed below.
  • TPS last checked (Date/Time). When the numbers were last checked. Left unchanged when a check fails, so the record is retried.
  • TPS phone detail (Single line (255)). Each phone field with its number and result, for example "Phone +442079460018: Clean; Mobile +447700900123: TPS-listed".

If your edition has reached its custom field limit, or your profile cannot create fields, Zoho refuses the request and the connection still completes. Add the missing fields by hand in Setup, Customization, Modules and Fields, using exactly the labels and types above (for TPS status, add the six options below as they are written). TPSClear finds them by label the next night and starts writing to them.

What the results mean

  • Clean. Not on the TPS or the CTPS at the time of the check.
  • TPS-listed. On the Telephone Preference Service.
  • CTPS-listed. On the Corporate Telephone Preference Service.
  • Do not call (opt-out). On your own suppression list.
  • Not a valid UK number. Non-UK, empty or unreadable. The number is not checked.
  • Unknown (check failed). A register lookup did not complete. The record is checked again automatically.

When numbers are checked

  • When a record with a phone number is created.
  • When a phone number on a record changes. Edits to other fields do not trigger a check.
  • Every night, if the nightly sweep is switched on: records never checked, records whose last check failed, and records last checked 27 or more days ago.

Every phone-type field is checked, including custom phone fields. Screening is switched on when you connect, so your five free checks work straight away, and stays on when you choose a plan. You can switch it off, and switch the nightly sweep on, in TPSClear settings.

TPSClear updates only its own three fields, and its updates do not run your workflow rules, approvals or blueprints.

Disconnect

In Zoho, open your account settings, then Connected Apps, and revoke TPSClear. TPSClear notices the next time it tries to reach your organisation, and stops checking. Revoking does not cancel your subscription; to cancel, write to support@tpsclear.co.uk. The TPSClear fields and their values stay on your records until you delete them.

Troubleshooting

  • A field is missing. Add it by hand as described under Fields created for you.
  • A record shows Unknown (check failed). The register lookup did not complete. It is retried automatically.
  • Numbers are not being checked. Check in TPSClear settings that your plan is active and screening is on. If both are, email support@tpsclear.co.uk with your Zoho organisation name.
